Applications are invited for the position of Human Capital Administrator (Peromnes Grade 10) based at the Head Office, Bruma. The successful applicant will be reporting to the Head of Human Capital Business Partnerships Purpose To provide professional administrative support to the Human Capital Department ensuring accurate record-keeping, confidentiality, regulatory compliance, and smooth coordination of relevant HC activities.
Job description

 HC Governance and Administrative Support - Perform confidential administrative duties including, but not limited to, drafting letters related to employment, memorandums, and related correspondence; Provide administrative support to Human Capital management as and when required; Maintain and safeguard electronic and physical filing systems for fast retrieval of required data and information. and in compliance with relevant governance standards and data protection requirements; Prepare the stationery orders and control the distribution of stationery within the department; Coordinate and book travel and accommodation for Human Capital management, bursars and graduates as and when required; Coordinate multiple diaries and book meetings, workshops, and conferences for the department, and arrange refreshments when required; Book departmental meetings and prepare professional meeting packs, agendas and any other documents required for the meeting; Record, distribute and maintain accurate minutes of meetings; Follow up on the action items and matters arising from previous meetings; Ensure that documents are typed accurately and are professionally prepared; Support audit processes by collating required documentation from the various Human Capital units; Generate relevant reports demonstrating the required understanding of what’s required.

Financial and Procurement Administration  - Liaise with Finance and various service providers regarding invoices, statements of accounts and related queries to facilitate timeous payment of suppliers; Confirm with the end-user if the services have been rendered and ensure the supplier invoice is signed by the relevant head of department; Accurately capture the purchase requisitions, purchase orders and upload the signed supplier invoice to ensure that all suppliers are paid timeously; Administer the petty cash requests, prepare a recon and submit to finance; Track administrative budget utilisation and flag variances to Human Capital management; Maintain accurate financial records and supporting documentation.

Recruitment and Human Capital Project Support  - Coordinate recruitment and selection logistics including candidate vetting, interview scheduling, interview packs, reference checks and basic communication with candidates; Assist the Human Capital Business Partner team in maintaining recruitment records and tracking reports; Provide administrative support for Human Capital projects, including bursary programmes, graduate in training and other talent interventions; Ensure project-related documentation is accurate and securely maintained.

 Stakeholder Relationship and Engagement - Liaise and interface with relevant internal and external stakeholders such as suppliers, internal support departments, and staff as required; Convey information accurately and competently whilst maintaining the required level of confidentiality and discretion; Always maintain effective communication channels to keep Human Capital management informed of important issues; Serve as a first point of contact for Human Capital-related enquiries; Foster and sustain sound working relationships with internal and external stakeholders.

Minimum requirements

Minimum Formal Qualifications:

     Grade 12

    National Diploma in HR Management / Organisational Psychology or related field is required

    Bachelor’s Degree in HR Management / Organisational Psychology or related field will be advantageous

Minimum Years of Experience:

     A minimum of 3 years progressive Human Capital related administration experience
