Course Administration: Gather and Retrieve nominations and registration forms of all ATA training delegates (from Training Administrator as per proposal on all external delegates):- Receive nominations and registration forms from MATS/ MTS for all internal delegates:- Responsible for registering Clients on the ATA Training Information System (TIS) accurately to safeguard the integrity and confidentiality of the records on behalf of ATNS:- Capture the course and the client details on the TIS:- Responsible for arranging VISA applications for international delegates prior to the commencement of course, send an invitation letter to the embassy, delegates, and coordinate with their organization and CRM:- Responsible for booking accommodation and registration of International Delegates as per ATA procedures:- Responsible for booking accommodation on behalf of HC for Engineering learnerships, graduates and ATS bursars:- Responsible for communicating travel arrangements for delegates:- Coordinate with guest lodges for travel arrangements and flight transfers where applicable:- Responsible for venue booking and training material. Responsible for setting-up the venues for all courses commencing:- Accountable for printing and binding of course manuals prior to course commencement including pre-course material to ATNS units:- Responsible for creating course certificates and dispatching of certificates:- Accountable for generating and dispatching individual and consolidated course reports to different stakeholders:- Ensure that all course reports are signed by the relevant parties:- Maintain administrative support and oversight for the duration of the courses assigned including ad-hoc requests from Instructors and ATA support staff.
General Administration: Report monthly on Internal and External training events and costs department for Finance to assist with monthly ATNS income statements and budget reconciling:- Report monthly on ATA training to describe pass / fail result reports for ATNS:- Update and maintain records to track approved training proposals of external clients for ATA Senior Management:- Assist with administration for ELP assessments and maintain updated records for the ATA filing system:- Responsible for retrieving and issuing all student training records for ad-hoc requests by internal and external clients including IATA and ICAO reports.
Support for ATA Partnership Training: Coordinate course schedules and details with partners as per service level agreements, draft and distribute training proposals to clients, plan costing models and host such courses:- Arrange accommodation and transport for Partnership instructors:- Register partnership delegates and manage reports related to their training courses:- Coordinate course-end functions and assist any participants on these courses:- Ensure financial controls are followed for all partnership course attendees.
Minimum requirements
Minimum Qualifications
- Grade 12/ Matric Certificate
Minimum Experience
- A minimum of 2 years administrative experience in a training environment.
- Fully computer literate (MS Word, Excel, Power Point and Outlook)
