Job description

KEY PERFORMANCE AREAS
 
Leadership and Management of Office of the CEO   - Contribute strategic inputs to the conceptualisation and development of the overall organisation’s business strategy. Serve as key contact and coordination point in the Office of the Chief Executive, managing information flows, facilitating and coordinating information-sharing ATNS with other stakeholders. Advises the CEO in major decisions to be made with insights and a birds view outlook. Act as a proxy in some of the high-profile meetings for the CEO. Provide leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO. Oversee timeous coordination of all reports for the CEO from programmes, projects, and departments, prepare pre-meeting briefings, undertake research, and ensure actions are completed on time. Ensure that reports required by the CEO are submitted as required. Support the CEO to manage confidential matters effectively and ensure all communications are handled sensitively. Define a strategic framework for the operating model of the office of the CEO that aligns all ATNS departments and functions.  Lead development, implementation, and management of the policies and processes for effective management of the office of the CEO. Lead and track the implementation of the decisions taken at CEO’s various meetings and forums. Develop, implement, and manage an effective and efficient documentation flow in the office of the CEO and coordination of inputs from other departments for compilation of final reports. Provide leadership in the management of strategic meetings on behalf of the CEO in line with the Year Planner or as required by the CEO. Liaise with internal and external stakeholders on behalf of the CEO. Manage and monitor correspondence and responses to, and from the strategic stakeholders. Ensure CEO is kept informed and up to date with all communications and changes with direct and indirect impacts on the industry and organisation.  Coordination and management of CEO’s strategic platforms. Communicates directly, and on behalf of the CEO, with stakeholders, on matters related to CEO’s programme initiatives. Act as a trusted strategic advisor and operator for the Chief Executive Officer, who can fill in as necessary in meetings, synthesizing information and feedback for quick decision-making. Ensure thorough preparations and smooth running of EXCO meetings and other committee meetings including coordination and planning. Serve as a liaison between CEO and executives of businesses and functional units, organizing and coordinating internal and external relations initiatives and overseeing special projects.
Operational Support - To provide strategic and efficient tactical and operational leadership in all strategic activities in the Office of CEO. Create and maintain an ethos of excellence, a disciplined work ethic and continuous improvement culture to increase productivity. Maintain high standards of professionalism, discretion, diplomacy, judgment, customer service, efficiency, and operational excellence for the office. Lead completion of critical aspects of deliverables with a hands-on approach, including business projects, and other tasks that facilitate the CEO’s ability to effectively lead the company. Support CEO’s Personal Assistant in ensuring a smooth-running process in the office of the CEO.  Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to ensure successful completion. Ensure oversight of all policies, submissions to the office of the CEO prior to CEO’s approval. Prepare presentations for strategic platforms that requires CEO’s participation.
Projects Management - Manage and undertake specific administrative tasks on work programs, projects and research as determined by the CEO. Oversee and manage strategic project projects on behalf of the CEO. Represents the CEO’s office by serving on strategic projects committees. Work closely with executive leadership and projects teams and other stakeholders to facilitate delivery and removal of impediments to project deliveries. Collaborate with responsible functionaries to facilitate project meetings and workshops related to strategic projects in the organisation.
Governance, Monitoring, Risks and Reporting - Develop the required policies and processes to ensure a robust governance environment and compliance in the CEO’s office. Continuously monitor and measure compliance of the CEO’s office team to all ATNS policies and procedures and relevant legislation. Monitor the overall performance of the CEO’s Office in relation to set performance targets. Consolidate input from all Departments to prepare strategic-level reports for the CEO and other relevant stakeholders.  Assist the CEO with reviewing the quality of the business reports required by the Board and other strategic stakeholders. Maintain an effective risk register to ensure effective mitigation or management of the logged risks. Report on progress for resolution of any audit findings to ensure timely closure.
Stakeholder Management - Build and maintain mutually beneficial relationships with all relevant internal and external stakeholders.  Providing direction for overarching conformance to customer Service Level Agreements (SLAs), initiating and enforcing appropriate strategic actions where necessary. Facilitate collaboration and interaction as well as communication between the CEO and all critical stakeholders.  Timeous coordination of responses to parliamentary questions and information required by the minister.
Finance and Costs Management - Lead the development, utilisation, and management of the budget for the CEO’s Office/departmental budget. Ensure effective leadership in the management of operational costs to enable efficient utilisation of financial resources. Ensure compliance to the financial policies and procedures in utilisation of the approved budget. Ensure accountability and reporting on all costs incurred against the approved budget. 
People Management - Ensure availability of skilled and competent staff in the CEO’s to meet the current and future needs of the Office.  Promote high levels of discipline and performance standards to achieve the Office performance targets and strategies.  Manage performance outputs of the Office’s team through the implementation of the organisation’s performance management system to ensure the achievement of strategic plans and goals. Drive employee engagement and retention within the CEO’s Office. 


Minimum requirements

MINIMUM QUALIFICATIONS
  • Bachelor’s degree in Law or Commerce or a related field
  • Postgraduate qualification in Business / law or a related field.
  • Masters degree in law or business or a related field is advantegeous

MINIMUM EXPERIENCE
  • 10 years’ experience in a managerial role within a medium to large size organisation , of which at least 5-7 years must have been at a senior management level.
