Job description
Office Administration - Receiving and collating documents in order of priority. Submitting documents to MTS for approval and action. Maintaining a filing system on all applicable Technical Support documentation. Composing, typing, and distributing documentation. Safeguarding the integrity and confidentiality of documentation. Handling queries. Arranging meetings with internal and external stakeholders and customers. Taking, typing, and distributing of minutes (Technical, ATS/TS, OHAS, ACSA, Disciplinary, etc.). Forwarding documents and parcels internally and externally (post, fax, courier). Co-ordinating MTS’s activities. Completion of Delegation of Authority forms when MTS is out of office. Maintaining Technical archives. Performing reception duties. Liaising with ACSA on issues such as invoices, permit issuing, boardroom booking etc. Awareness of important issues that might affect the company and take necessary action to proactively assists MTS in smooth and effective daily operations
Finance Management - Great Plains – Finance – Maintenance Management System (MMS). Creating Procurement requests. Tender evaluation process. Liaising with Supply Chain Management team. Creating Purchase Requisitions. Forwarding signed Invoices and Statements to Creditors for payment. Checking all courier invoices and forward for payment. Managing Petty Cash Float. Monthly Re-imbursements and claims. Assisting and submitting annual Budget input (CAPEX, OPEX, Internal and External Training). Tracking and advising MTS/STS of variances in expenditure. Preparing for Financial Year End
HR administration - Attendance Registers (weekly and monthly checks and calculation for claims). Overtime claims. Rosters. Arranging transport, accommodation, S & T, etc. for Technical Staff. Monthly Private Vehicle Claims. Personnel Re-imbursement Claims. Ensuring that all leave is captured by staff members |
Quality management system - Ensure compliance with ISO 9001:2015. Maintaining quality documents. Assisting staff in navigating the Quality System. Continuous follow up on CIR’s. Facilitating QMS Refresher Training
Minimum requirements
§ Recognised National Diploma
§ Three years office administration
