Job description

 Major Activities

 Coordinate and assist in the development of ATM Research and Planning as well as Airspace Efficiency Project Schedules, User Requirement Specifications (URS), associated Safety Cases - Facilitate the development of the ATM Research and Planning as well as Airspace Efficiency Projects Schedules of by engaging with various stake holders.  Ensure that all ATM R&P and Airspace projects are registered with PMO Office.  Serves as a point of contact for projects between the ATM R&P, Airspace Efficiency departments with other departments.   Work with the identified Project/ Program Manager to drive the consistency of the project scheduling approach and to facilitate accuracy in project execution and reporting.  Work with the identified Project/ Program Manager to develop and maintain detailed ATM Research and Planning as well as Airspace Efficiency resource loaded schedules of projects and update the projects schedule accordingly. Schedule identified project resources within the ATM Research and Planning and Airspace Efficiency departments as required for new projects. Develop a master project schedule and ensure schedule integration of all ATM Research and Planning as well as Airspace Efficiency Projects, across the value chain.  Update the master schedule in accordance with project’s needs, time, cost, scope of work, client requirements and objectives.  Assist in the development the User Requirement Specifications (URS) for identified projects.  Assist in the development of the associated Safety Cases for relevant projects.  Keep track of project schedules, estimated resources, duration, work required as well as highlighting deviation in actions to the relevant project leads.  Compile and maintain summary level schedule reports, milestone, charts and other program management tools used to support critical path analysis, near-term tasks work authorizations, priority-based resource allocations, performance variances and to support cost/ schedule integration.  Assist the Project Leads in identifying the project dependencies.  Maintain accurate records/ paperwork in accordance with the ATNS project Management Framework.   Participate in the preparation of the ATNS CAPEX plan.  Facilitate project status meetings with the relevant Project Managers Provide detailed Project filing plan, capture project meeting minutes and provide project presentations as required.

Administer and Monitor Operational Budget - Provide input into the annual budget process.  Assist with the preparation and capturing of the ATM Planning Research and Planning and Airspace Efficiency departmental budget into the Budgeting System.  Monitor departmental budgets and update the departmental travel tracker and email monthly updates to PA: Exec.  Assist in the control of expenditure in accordance with financial policies and procedures.

Client relations - Support in the preparation of relevant plans, processes, procedures business cases and safety cases for introducing new technologies into the operational environment.  Build positive relations within the team and external parties.    Promote the ATNS corporate culture within area of responsibility in support of corporate objectives.  Minute taking of Internal Meetings as requested by the Senior Manager: ATM Research & Planning(SM:ATM P & R).  Interact with internal and external clients on behalf on the Senior Manager: ATM Research & Planning.

Administration and Reporting - Prepare and submit reports to meetings as required.  Preparation and coordination of presentations as requested.  Prepare ad hoc reports as required by clients and management.  Attend required Departmental and Company meetings and provide minutes as required.  Prepare presentations and reviews for the SM:ATM P&R and assist with detailed content when required, in line with ATNS’s brand integrity.  Establish systems to ensure proper information and document management within the office.  Perform varied administration work involving considerable independent judgment, initiative and accuracy.  Maintain a proper message system, handling the receipt, distribution of the incoming and outgoing mail, facsimiles, emails and publications.  Execute OPSCOM and ATM/CNS Implementation Committee secretariat duties.  Coordinate fulfillment of tasks and action plans (roles and responsibilities of working group team members).  Consolidation of all inputs received and document control for the committee.  Inform all concerned parties on the meeting results/progress.  Capture and manage status of working group tasks.

Diary Management - Diary Management and scheduling of meetings and appointments accordingly.  Preparing and organizing internal and external meetings.  Planning and co-ordination of travel arrangements.  Coordination of departmental / committee meetings.

Travel Management - Liaison with appointed travel office for quotations and information.          All travel arrangements for the ATM Reseach and Planning and Airspace Efficiency , itineraries, visas application processes, flights, transfers, accommodation and allowances.  Reconciliation of expenses and documentation of all travel engagements.  Process expense claims, ordering of travel forex, processing payment to allocated budgets

Minimum requirements

Minimum Qualification:

·       1 year Project Management Certificate or Diploma

·       CAPM Certification Advantageous

 Minimum Experience:

·       2 years in project coordination and administration or programme management experience within the ATM/ATS/AIM environment.

·       Proficient in MS Project and other Project Management Tools
